Your front desk is overwhelmed. Grace isn't.

Grace books appointments, sends 48h and day-of reminders, answers your most common patient questions, and routes everything clinical to your patient portal. HIPAA-compliant over SMS. At a 20% no-show rate, her reminders recover $7,000–$10,000 in monthly lost revenue for the average family practice.

The Problem

Your front desk answers the same questions 40 times a day.

Hours, location, insurance, parking, new patient process, prescription refills, lab result status. Every one of those calls takes a staff member off a task that actually requires their training. And after 5pm, those calls go to voicemail — and patients call the practice that picks up.

Grace handles all of it. Your staff handles the rest.

Do you take Aetna insurance?
Yes — Heritage Family Practice accepts Aetna, Cigna, United, Blue Cross, and Medicare. I can help you schedule an appointment right now if you'd like.
What are your hours?
We're open Monday–Friday 8am–5pm, with urgent slots available Monday and Wednesday mornings. Want to grab a time?
The No-Show Problem

No-shows cost $800 a day. Grace costs $597 a month.

A 20% no-show rate at 20 daily appointments means 4 empty slots × $200 average visit = $800 in lost revenue every single day. Grace's 48-hour and day-of reminder sequences cut no-shows by 40–60% in comparable practices. She pays for herself in the first appointment she saves.

The Portal Bridge

Clinical questions go straight to the portal.

Grace knows exactly where her lane ends. Any question about lab results, medications, diagnoses, or clinical details — she routes immediately to your patient portal with a direct link. Patients get to the right place. Your staff isn't interrupted. And nothing clinical is transmitted over SMS.

I want to check my lab results from last week.
For lab results, the fastest way is your secure patient portal — all your results are there the moment they're available. Log in at: [PORTAL_LINK]
I haven't set up my portal account yet.
No problem — call the office at [PHONE] and we'll get you set up in about 5 minutes. Once you're in, you'll have access to all your records, results, and can message Dr. Overton directly.

HIPAA Compliance

Built within the lines. No exceptions.

HIPAA compliance is not a feature — it's a hard constraint built into Grace's SOUL.md. She is designed from the ground up to handle scheduling and administrative tasks without touching Protected Health Information.

FAQ

Questions answered.

Will Grace transmit any protected health information?
No. Grace is designed to handle scheduling and administrative tasks only. No lab results, diagnoses, medications, or clinical details are ever transmitted via SMS. Anything clinical gets routed to the patient portal with a direct link. This is a hard rule built into Grace's core architecture — not a policy that can be overridden.
Does this require integrating with our EHR?
No integration required for Phase 1. Grace collects appointment requests and relays them to your front desk (or whoever manages your schedule) via a Telegram notification. Your team enters the appointment in your existing system. If you want direct EHR booking in the future, we can explore an API integration — but Grace is useful from day one without it.
What about HIPAA compliance?
Grace runs on Twilio with a Business Associate Agreement (BAA), which is required for any SMS communication involving patient scheduling data. Patient consent is collected at first contact. We draft all consent language as part of the setup. Our setup fee includes BAA procurement and compliance review.
What if a patient asks about their health condition?
Grace routes immediately to the patient portal with a direct link and the practice phone number. She never attempts to answer clinical questions. This is a zero-tolerance hard rule — Grace would rather give the patient fewer answers than the wrong ones.
How long does setup take?
Two weeks from the time we have your practice information — accepted insurances, appointment types, hours, portal link, staff contact for escalations, and provider name. Week 1 is build and testing. Week 2 is staff review and go-live.

Your front desk is one person. Grace is always on.

New patient at 9pm on a Friday. Appointment reminder that actually gets confirmed. FAQ answered at 6am before your staff walks in. Grace handles all of it, every day, without calling in sick.
